Renting Process

    Once you find a property you like. Submit your online application. Answer all questions truthfully, as we run credit checks and any undisclosed issues like CCJs will void your application. You won’t get your fee refunded if this happens.

    Tenant Fees Schedule

    New Assured Shorthold Tenancies (AST’s) Signed on or after 1
    June 2019
    Holding Deposit (per tenancy) – One Week’s Rent.
    This is to reserve a property. Please Note: this will be withheld if any relevant person (including any
    guarantor(s) withdraw from the tenancy, fail a Right-to-Rent check, provide materially significant false
    or misleading information, or fail to sign their tenancy agreement (and/or Deed of Guarantee) within 15
    calendar days (or other Deadline for Agreement as mutually agreed in writing).
    Security Deposit (per tenancy. Rent under £50,000 per year) – Five Week’s Rent.
    This covers damages or defaults on the part of the tenant during the tenancy.
    Security Deposit (per tenancy. Rent of £50,000 or over per year) – Six Week’s Rent.
    This covers damages or defaults on the part of the tenant during the tenancy.
    Unpaid Rent
    Interest at 3% above the Bank of England Base Rate from the Rent Due Date until paid in order to
    pursue non-payment of rent. Please note: This will not be levied until the rent is more that 14 days in
    arrears.
    Lost Key(s) or other Security Device(s)
    Tenants are liable to the actual cost of replacing any lost keys(s) or other security device(s). If the loss
    results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys
    for the tenant, landlord any other persons requiring keys will be charged to the tenant. If extra costs
    are incurred there will be a charge of £15 per hour (inc VAT) for the time taken replacing lost key(s) or
    other security device(s).
    Variation of Contract (Tenant’s Request) £50.00 (inc VAT) per agreed variation.
    To cover the costs associated with taking landlord’s instructions as well as the preparation and
    execution of new legal documents.
    Change of Sharer (Tenant’s Request) £50.00 (inc VAT) per replacement tenant or any reasonable costs
    incurred if higher.
    To cover the costs associated with taking landlord instructions, new tenant referencing and Right-to
    Rent checks, deposit registration as well as the preparation and execution of new legal documents.
    Early Termination (Tenant’s Request)

    Applying To Rent

    • Once you have seen a property you think you would like you can arrange to view it by phoning                0121 574 4069
    • In the application form is the affordability calculator which help you to see what rents you can afford or whether you will need a guarantor. Should you require a guarantor please read the Guarantor Guidance Notes. Please contact us directly should you require a company application form.
    • Once you have viewed the property and you wish to proceed to the rental of the property, we request you telephone the office to check that the property is still available.  The application form should be completed and a holding deposit equivalent to one week’s rent should be paid to hold and take the property off the market.
    • Once the landlord has approved the application it will be sent on to the referencing company.
    • Once we receive approval from the referencing company we will telephone you to agree a date to come to the office to start the tenancy. This must be within 4 weeks of applying for the tenancy.
    • On that date, you will sign the Tenancy Agreement, pay the balance of the first month rent and pay a security deposit equivalent to five weeks rent.  You will then be given keys to your property and a copy of the signed Tenancy Agreement.
    • If you’re living in a property managed by Sanctuary Estates Lettings and you have a maintenance problem then please contact  0121 574 4069 to speak with your property manager. If you have an emergency outside of our working hours then please go to the Advice for Tenants on Repairs

    Tenancy Agreement

    Once you are accepted we will make an appointment for you to come into our office at Birmingham to sign the Tenancy Agreement and Inventory and pay the first months rent and deposit and be given the keys. You will be asked to return the inventory within 2 weeks with any amendments.
